SUBMISSION MANAGEMENT WORKFLOW
(Aligned with UIA Procedures)
Step 1 – Call for Abstracts
- UIA-PHG Regional Director will meet with the regional members to determine the theme of their sessions.
- Call for abstracts will be disseminated through regional directors and members
- Potential presenters will submit the abstract and related information via the Google Form by April 15: https://forms.gle/qvkhvvzRqyadpfk47
Step 2 – Abstract Screening
- Scientific Committee Coordinators will do the compliance check
- Assignment to Scientific Committee Reviewers
Step 3 – Peer Review
- Two reviewers per abstract
- Consolidated recommendation by 2 reviewers
- The peer reviewers will send back the results within one week.
Step 4 – Abstract Decision
- Accept / Revise / Reject
- Oral and poster presentations will be identified.
- Notification issued by Scientific Committee Coordinators by April 30, 2026
Step 5 – Authors’ responses
- Oral presentation authors are required to confirm the in-person attendance of the UIA-PHG congress by May 7, 2027
- Poster presentations is required to send the digital files to the committee by May 31, 2026
Step 6 – Preliminary Programme Finalisation
- Session schedule and agenda will be determined by May 14, 2026
Step 7- Presentation Slides Submission and Final Programme
- Presentation slides submission deadline: June 15, 2026.
- Slot Presentation as per Schedule
- Submission of the biography of speakers
- Notification of Final Programme
Step 8 – Publication Preparation after Seminar (July 15, 2026)
- Full paper submission will be due after the conference
- Peer review process
- Full paper accepted or rejection notifications
- Copyediting
- Publisher coordination
